SUMMARY

Enhances executive’s effectiveness by providing information management support; representing the executive to others.

JOB DUTIES

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Maintains business expense reports and other personal expenses.
  • Update and record all documentation for P.E. Licenses.
  • Conserves executive’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Searches Social Media Sites, representing President, with the purpose of recruiting and researching.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Completes special projects as assigned.
  • Prepares reports by collecting and analyzing information.
  • Secures Executive information by sorting and storing relevant data on servers.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains professional and technical knowledge by attending educational workshops; establishing Social Media networks; participating in professional societies for the purpose of supporting Executives recruiting or business development efforts.
  • Contributes to team effort by accomplishing related results as needed.
  • Taking initiative with scheduling, messaging etc. to keep Executive abreast of recent company matters.
  • Attend regular meetings
  • Some travel

QUALIFICATIONS AND SKILLS

  • Bachelor’s degree in English, Business or related field preferred or equivalent industry experience.
  • Highest level of confidentiality.
  • Attention to detail and excellent written and verbal communication skills.
  • Writing, Reporting, Scheduling, Social Media/Internet Research, Microsoft Office, Organization, Time Management, Presentation, Travel Logistics, Verbal Communication

EXPERIENCE

  • 6 plus years in office environment with executive administrative responsibilities.
  • Prefer 3 or more years’ experience as a personal/executive assistant and in the AEC industry
